The ResDiary–Simphony integration provides seamless synchronisation between ResDiary and Simphony.
This guide explains how the integration works, outlines key use cases, and provides practical steps for staff to follow.
Key Benefits
Automatic Check Creation: When a table is seated in ResDiary, a check opens in Simphony with all relevant booking details.
Deposit Management: Deposits made via ResDiary are included in the POS check for redemption.
Real-Time Meal Statuses: Updates flow between Simphony and ResDiary, ensuring accurate table progress tracking.
Customer Spend Tracking: Order and spend details are sent back to ResDiary, enriching guest profiles and reports.
Accurate Capacity Management: Online availability always reflects the latest on-site activity.
How the Integration Works
The integration keeps both systems in sync:
A table is booked in ResDiary.
When seated, a check opens in Simphony.
Any deposits, promotions, or booking details are included.
As orders are placed, meal statuses update in ResDiary in real time.
- When payment is taken and reservation is closed and spend details are stored in ResDiary.
Use Cases
1. Seating a Reservation
When guests arrive with a booking:
Mark the reservation as Fully Seated in ResDiary
A check will open automatically in Simphony, showing:
Customer name
Booking reference
Promotion (if applicable)
Deposit amount paid
2. Seating a Walk-In
When guests arrive without a reservation:
Open a new check in Simphony and assign it to a table.
A walk-in booking will automatically be created in ResDiary, ensuring availability stays accurate.
3. Handling Deposits
For bookings with deposits:
The deposit amount appears on the open check.
Staff apply the deposit manually, depending on configuration:
As a Service Charge
As a Menu Item
4. Meal Status Updates
As the guest journey progresses, Simphony updates ResDiary with real-time meal statuses:
Drinks
Starters
Mains
Desserts
Paid
Closed
Note: Meal status updates will only occur if menu items in Simphony are tagged as Drinks, Starters, Mains, or Desserts.
5. Closing a Check
When a guest pays and the check is closed in Simphony:
The booking in ResDiary is updated to Closed
The total spend is recorded
The itemised receipt is stored in the booking details
