The Solution


Instead of being faced with an answering machine, ResPhone allows the customer to book their table immediately using their phone. Bookings taken through Resphone are automatically entered into ResDiary through an automated service.


Why ResPhone?


It’s a way of retaining every bit of business that comes your way, as that missed call can be a party of 2 for lunch the next day ­ or a party of 20 for a 10 course tasting menu.


You’ll appreciate that having been a customer yourself, if you’re looking for a restaurant on Saturday night, and your first choice doesn’t pick up the phone ­ chances are, you’ll move on to the next one.


How it Works...


You will be given a unique ResPhone reservations number which will match your restaurant locations area code.


Your can add your ResPhone number to your website as a main reservations line, or simply divert to this number when the phone goes unanswered (e.g after 5 rings).

It integrates with the existing rules set up for online reservations e.g. Maximum party size close and availability, and with the availability in your diary.


If the time requested is not available, the customer will be offered the next and nearest availability. E.g if the diary is full at 6pm, the customer will be offered 5.45pm or 7pm if there is availability.


If the party size is larger than that permitted for online reservations, there is no availability or the booking breaks a 'rule' that you've set up, the call is diverted to your restaurant direct line number.


If call is diverted to Restaurant and is unanswered, a voicemail is sent to the your restaurant via email as an MP3 attachment.


If caller uses mobile phone it does not ask for a number it will automatically recognise the number from the call.


If caller calls from a landline ResPhone will ask for mobile number.


If the caller has previously made a reservations using mobile number on any of ResDiary accounts , ResPhone will not ask for diners name again as it is already known ResPhone 


The bookings are subject to your normal rules and yield management and behave the same way as an online booking (i.e no 2’s on 4’s, no bookings at 7pm, max online booking party of 6 etc) and if you close online bookings ­ no more bookings will be taken on ResPhone.


The booking Process can be summarised as follows:

  • Caller is asked for party size 
  • Caller is asked for reservation time 
  • ResPhone checks availability in your diary 
  • If yes, ResPhone repeats back the booking information to the customer to confirm, then confirms the booking is made to the customer. 
  • Caller receives SMS confirmation and booking immediately placed into your ResDiary.
  •  Caller is invited on the SMS confirmation to text back with their Surname. If they choose to do this, the surname will automatically added to the ResPhone booking in your diary.
  • If the customer does not text back with their name, the booking is still confirmed, but booked under the mobile phone number.
  • The booking will show up in your diary as a ResPhone booking in brown ­ so you can easily distinguish where the booking came from.
  • You can also report on your booking source for ResPhone reservations too.

  •  ResPhone does not support promotions and only searches for standard availability, If you have promotion set up and applied to the ResPhone channel the message to the customer will be that an option is required and to contact the venue directly to book.
  • ResPhone does not support payment or card details required. ResPhone ignores payment and card details required and allows the customer regardless.
