We heard from our multi diary customers that rolling out promotions to every diary manually wasn't ideal, so we have added some new functionality to hopefully speed up the process for you. 


Provided you have 2+ diaries, connected together under the same login, you can now enjoy group copying promotions.
To copy a promotion across your diaries, please follow the below steps:


1. Firstly, you'll need to create the promotion you are looking to copy. Please click here to view a guide on how to do this. 


PLEASE NOTE: deposits, menus, and areas, packages, Images, and translations, will not copy across. 


2. Click on the 'copy to another venue' option, as seen below:



3. You will then see a panel show up with some options. Lets go through each:






A : Copy as available in all areas
If you select this option, then this promotion will be activated as ''available'' in ALL areas for each diary you choose to copy this promotion to.

If this option is unticked, then no areas will be selected as ''available'' in this promotion once they have been copied across to the diaries of you choice.


B : Copy as required in all areas
If you select this option, then this promotion will be activated as ''available'' and ''required'' in ALL areas for each diary you choose to copy this promotion to.

If this option is unticked, then no areas will be selected as ''available'' or ''required''  in this promotion once they have been copied across to the diaries of you choice. 


C : Copy status as disabled
If this option is selected, then your newly created promotion will be copied across to the diaries of your choosing with a disabled status. 

This is our recommended course of action. 
This will mean the promotion will be disabled, and will allow you/ your team/ individual site management to go into this promotion, and adjust the area set up, add a deposit and menu before setting this live.


If this option is not selected, then your promotion will be copied across with an active status. Please note, if you do not select option A and B (making all areas available or required), then your promotion will not be visible online or internally until you manually adjust the promotion to make a minimum of 1 area available and/or required.

To avoid this situation occurring, we suggest you always copy promotions with a disabled status. This will ensure appropriate checks and adjustments can be made, and the promotion can then be enabled once this has been completed.


D : Venue toggles
Here you can choose which diaries you wish to copy your promotion to by clicking on the toggle next to each venue name.

At the top of the panel, there is also a helpful ''select all'' and ''deselect all'' option if needed.

Any venue with a green toggle next to it, the promotion will copy across to this venue.



4 : Once you are happy with your selection ion this panel, click ''copy''.

5 : If you copy a promotion to less than 4 diaries, you promotions should copy immediately for you.
If you copy a promotion to 5 or more diaries, this work will schedule for you. The system will send you an email to notify you once the copy has been completed across all selected diaries.

6 : Check your promotions!
Pop to each diary you have copied your promotion to and make sure it is correct! You'll notice that in promote > promotions, there is a new status drop-down called ''copied''. Here you can see all promotions that have been copied into this diary. You will also see the word ''copy'' next to each promotion for better visibility. See below:



Hopefully, you have copied your promotions across as disabled. Now is the time to add a deposit or menu, and confirm the area setup of the promotion is correct. Once it is - you can set the status of the promotion to enabled and launch it to your lovely customers. 


If you have copied your promotions with an active status, please ensure you follow the above steps too. Add a deposit/ menu if needed, check the areas set up is correct within the promotion and then it is good to launch to your lovely customers
.



Please note:
Once you have copied a promotion across to another venue (For example, you create the promotion in venue A and copy it to venue B) - All further changes to that promotion will need to be addressed in each individual diary and promotion.
Once a promotion has been copied across, it cannot be reversed.
If you copy a promotion across in error, please change the status of that promotion to disabled to avoid any unwanted promotions displaying.
