Use individual users to assign specific access levels, improve security, and maintain accountability. Each user must have their own login, which lets you track who makes changes in the diary and when. This helps you manage your team more effectively and ensures transparency across your bookings. Shared logins can compromise security and make it difficult to trace activity, so we recommend creating separate users for each team member.


Warning: Each user must have a unique email address, emails cannot be reused across accounts. The username must be a real accessible email inbox. After creating a new user, allow up to 5 minutes before they attempt to log in.


Add your user to Access Evo

Follow the steps below to create your new user:

  • Click SettingsUser Management then Users.

  • Under default user group, select the level of permission for the new user.

  • From the blue pop-up on the top of your screen right click Evo Platform.

  • Click Open link in new tab.

  • On the new tab, ensure you are on the Members window.

  • Click the Add  icon.

  • Click Using an email address.

  • Click Add members individually.

  • Complete the following fields:

    • Name

    • Surname

    • Email address: This must be unique.

    • Personal message: This will appear on their sign up email, it's optional.

    • Organisation role: This will apply to all your Access products.

  • Select your user organisation role from the following options:

    • User: Can't edit your Access Evo members.

    • Administrator: Can edit your Access Evo members.

  • Complete the email address field, then click Add.

  • Click View member added.

  • Click the Three dots  icon next to your user.

  • Click Manage roles.

  • Under products, find ResDiary and click Manage Instances.

  • Enable the tick box for the diaries your user can access and change the option on the dropdown menu from no access to user.

  • Click Save Changes.

  • Click Confirm, then Close.


Important: Your user should now receive an email with a link to complete their registration, this lasts ten minutes, after that you'll need to resend the email manually. The user can follow on screen prompts until they setup their password and gain access to their Evo hub.

Resend your user their sign up email

In case you've created an user for your team member, but they haven't completed the registration on time and their sign up link has expired, please follow the steps below to resend them a sign up email:

  1. Click Settings, User Management then Users.

  2. From the blue pop-up on the top of your screen right click Evo Platform.

  3. Click Open link in new tab.

  4. On the new tab, ensure you are on the Members window.

  5. Quickly find your user by typing the email on the search bar.

  6. Click the Three dots  icon next to your user.

  7. Click Resend signup email.

  8. Click Close.


Note: Your user should now receive an email with a link to complete their registration, they can follow on screen prompts until they setup their password and gain access to their Evo hub.
